Terms of Service

The agreement between your property and Veraitech.

Effective3 September 2026 Last updated3 September 2026 Governing lawNew South Wales, Australia

Parties

These terms are an agreement between Veraitech Pty Ltd, a company incorporated in Australia ("Veraitech", "we"), and the business that has signed up for the Veraitech platform ("you", "the property" or "the customer"). Individual staff users act on the property's behalf under these terms.

The service

Veraitech provides a cloud-hosted property management system for hotels and motels. The service includes the staff web application, the guest-facing booking and check-in pages, the AI phone receptionist, the two-way channel connection through Channex.io, TTLock smart-lock integration, payment processing through our supported gateways, the REST API and MCP endpoints, and the reports and accounting tools built into the platform.

Available features and limits are described on our website and in your subscription. We may add, change or retire features over time; where a change is material, we will tell you first.

Your account

To use Veraitech you create an account for your property (or portfolio of properties) and invite staff users with role-based access. You are responsible for the credentials you hold, and for what happens under your account.

Passwords must be kept confidential. Sharing a login across staff is not allowed — each person who uses Veraitech needs their own account, so the audit log remains meaningful.

Your responsibilities

As the property using Veraitech, you agree to:

  • Use the service only for its intended purpose — running your accommodation business
  • Comply with Australian law when handling guest information
  • Give guests any privacy notices they are entitled to, including when their data is entered by you into Veraitech
  • Keep your rates, availability and property information accurate
  • Not attempt to reverse-engineer, resell, or overload the service (rate limits apply to the API and MCP endpoints)
  • Not use Veraitech to send unsolicited marketing to guests who have not opted in

Guest data

Guest data entered into Veraitech remains yours. You are the data controller for it. Veraitech is the data processor — we hold and move that data on your behalf so the system works. Our handling of guest data is described in the Privacy Policy, which forms part of these terms.

We do not sell guest data, do not share it with advertisers, and do not use it to train third-party AI models.

AI receptionist

If you enable the AI phone receptionist, calls to your property's phone number are answered by an automated assistant. You are responsible for:

  • Setting the property notes and FAQ the assistant answers from
  • Setting reception hours and escalation paths
  • Meeting any local disclosure obligations about calls being answered by AI (the assistant introduces itself as automated at the start of each call)

The assistant may occasionally get something wrong. Bookings it creates are real reservations on your books, and any commitments it makes to a guest are commitments made on your behalf.

Third-party services

Veraitech connects to a small set of named third parties. When you enable a connection, that vendor's own terms apply between you and them. The current list is:

  • Channex.io (channel manager)
  • The OTAs Channex distributes to (Booking.com, Expedia, Airbnb, Agoda, Hotels.com and others)
  • TTLock (smart locks)
  • Twilio (voice and SMS) and Google Gemini (voice AI)
  • Westpac PayWay (payment gateway)

We do our best to keep these connections working, but we do not control the third parties themselves. Their outages, rate changes and policy changes are not something we can guarantee against.

Fees and payment

Veraitech is billed on a subscription basis, priced per room per month, with the price and terms on your order form. Fees are quoted in Australian dollars and are exclusive of GST unless stated.

Payment gateway fees, OTA commissions and any other third-party charges you incur through Veraitech are between you and that provider — Veraitech does not add a surcharge on top.

Late payment may lead to suspension of the account after reasonable notice (see Suspension).

Intellectual property

Veraitech owns the platform — its code, design, brand, documentation and everything we build. Your subscription grants you the right to use it, not to own it or copy it.

You own your data and your content. Where you provide feedback or suggestions to Veraitech, we may use them to improve the platform without owing you anything for the idea.

Availability and support

We aim to keep Veraitech available around the clock. Planned maintenance is announced in advance; unplanned outages are handled as fast as we can and communicated on our status page. Support is offered during Australian business hours, with an on-call channel for issues that stop a property from operating.

Warranties and limits of liability

To the extent permitted by law, Veraitech is provided "as is". Your rights under the Australian Consumer Law are not affected by anything in these terms — where those rights apply, they override any limit written here.

Subject to that, Veraitech's liability for any claim is limited to the fees you paid us in the twelve months before the claim. We are not liable for indirect or consequential losses, including lost revenue from OTA rate mis-configuration you set, or losses caused by a third-party service listed above.

Suspension and termination

Either party can end the agreement on 30 days' notice. We may suspend your account without notice if we believe there is a serious security risk, unpaid overdue fees after reminder, or use of the service that breaks these terms in a way that puts other properties or guests at risk.

On termination, you keep read-only access for a reasonable period to export your data (see Data export).

Data export on exit

When your subscription ends, Veraitech provides an export of your property's data — reservations, guest records, folios, invoices and audit history — in a machine-readable format, at no extra cost. Once the export is delivered and confirmed, we delete your data from active systems within a reasonable period, keeping only what we are required to retain by law.

Governing law

These terms are governed by the laws of New South Wales, Australia. Any dispute goes to the courts of New South Wales — but let's talk first: most things get sorted faster over a call than in front of a judge.

Changes to these terms

We update these terms from time to time. When we change something meaningful, we will tell account admins by email at least 30 days before the change takes effect. If you don't want to accept the change, you can end your subscription before it does.
